Where Is My Email Stored?

Here’s the scenario. You write an email in Outlook and send it to your best friend. Your friend then opens the email in her Gmail account.

Where is the email stored?  In 4 places.

  1. Your Outlook (email management software) saves a copy in Sent Items.
  2. Your server (Cox, CenturyLink, Verizon, etc.) saves a copy in webmail Sent Items.
  3. Your friend’s server saves a copy in her webmail Inbox.
  4. Your friend’s Gmail (email management software) saves a copy in Inbox.

You can delete both of your copies if you want to. Delete from Outlook. Log into webmail and delete from webmail.

You can not delete your friend’s copies.

That’s why you always want to THINK before you hit SEND!

Email geeks, we see all the hard work you put into your email marketing campaigns. Once you have a great idea, there’s the copywriting, the design work, the coding, the endless back-and-forth editing, and then finally, the operational side of pulling lists or behavioral triggers and actually pressing, “Send.”

It’s a lot of work. Yet your beautiful email campaign may never actually reach the inbox. In fact, 70% of emails show at least one spam-related issue that could keep them from reaching the inbox. 😭

Email deliverability is a complicated, technical beast. While there are a few best practices that are tried-and-true to improve your deliverability (please, please don’t buy an email list!) it can be difficult to know what went wrong. While many factors affect your deliverability, spam traps are one of the biggest and most misunderstood of them all.

Upcoming Changes at Gmail and Yahoo Regarding Email Marketers

As of February 1st, Gmail and Yahoo will be tightening their procedures regarding email from all email service providers (Constant Contact, MailChimp, ConvertKit, etc.) All messages sent by an email service provider must be authenticated. This policy will be adopted by other email services gradually.

The best method is to authenticate your own domain. That means accessing your domain’s DNS settings and adding both a DKIM and a DMARC record.

While this is a bit of a nuisance, it will be better for all of us in the long run.

  • Our emails will be more likely to end up in the Inbox instead of Spam.
  • We will receive less spam as this will make it harder for spammers to fake being a legitimate sender.
